Tasks, bugs, client notes, and sprint status lived across ClickUp, Slack, Notion, and email. Nothing was connected — every status update required manual aggregation.

Clients had no real-time view of sprint progress. Every update was a manual email or call — consuming PM time and creating expectation gaps when delivery slipped.

Blockers surfaced too late

Dependencies and delays only became visible when they were already affecting delivery. There was no proactive flagging — only reactive escalation.

No sprint health measurement

There were no metrics for sprint velocity, completion rate, or team capacity. Leadership made resourcing decisions on feel, not data.

Mapped every tool in use, every workflow in place, and every handoff that was causing delay. Identified the three critical gaps: visibility, accountability, and measurement.

Designed a ClickUp workspace structure built around client delivery — one Space per client, sprint-based Folders, role-based task assignment, and status flows that automate accountability.

Automated sprint creation, task assignment by role, status progression triggers, and completion tracking. Every sprint milestone triggers a client-facing update — no PM intervention required.

Loom Integration & Reporting

Integrated Loom for async sprint review videos. Weekly summary dashboards auto-generated from sprint data — velocity, completion rate, blockers, and capacity utilisation surfaced automatically.
